The Accommodations and Transportation Officer (ATO) is responsible to assist supervisor services under the supervision of Manager Services (Facilities) for managing the staff transportation and staff accommodations. ATO is responsible to ensure the staff accommodations are ready for occupancy and in good repair and that the transportation needs of the CNA-Q employees, their children and CNA-Q visitors are being met in accordance with CNAQ procedure and polices and the needs identified by the Facilities Management.
Duties:
• Support College activities and special events and arranges special transportation as needed.
• Determine bus schedules for staff and dependents and arranges for other ad hoc employee transportation requirements.
• Provide administrative assistance during employee orientation and assist Orientation Committee.
• Daily liaison with the contractor responsible for employee transportation and holds regular meetings to review any outstanding issues and to determine that the service levels outlined in the contract are being met.
• Ensure, through coordination with the facilities team that accommodations are kept in good repair and furnished in accordance with the leases.
• Arrange inspections the accommodations prior to all employees moving in to determine readiness.
• Hold regular meetings with tenants committees for the respective staff accommodations.
• Assist services supervisor to resolve employee issues related to accommodations and transportation within the policy framework.
• Facilitate move requests. Communicate regularly with all staff about accommodation and transportation issues via email, and presents at meetings as required.
• Identify and report any potential risk in Accommodation and transport services. Create and maintain mail distribution lists for all accommodation groups. Must be flexible in hours of work and perform other duties as assigned.
• Standby (after hours) are required. Receive, respond and/or direct routine calls to the accommodation/facilities helpdesk.
• Prepare and process invoices/cheque requisitions for the statement of utility bills for the accommodation and transportation services.
• Set-up and maintain manual and electronic filing system for Transportation and Accommodation Services.
