Job Profile

PA's need extensive knowledge of their organizations set up; who the key personnel are (inside and outside the business); and what the organizations aims and objective.

Managers often relay heavily on their PA, trusting that work will be handled efficiently in their absence. For this reason, discretion and confidentiality are essential attributes for a successful PA to possess.

Typical work activities include:

1. Screening telephone calls, enquiries and requests, handling them when appropriate
2. Welcoming and looking after visitors
3. Organizing and maintaining diaries and making appointments
4. Dealing with incoming email, faxes and post
5. Dealing with correspondence, and writing letters, and taking dictation and minutes.
6. Producing documents, briefing papers, reports and presentations
7 Carrying out background research and presenting findings into subjects the manager is dealing with
