Job Purpose:
The required position, Operations Coordinator, will assist the Director’s Office in providing administrative support and project management. The position will assist in documenting, reviewing, monitoring and will follow-up on actions resulting from planning sessions.
The Operations Coordinator is responsible for coordination and ensures progress of project-focused initiatives of the Director’s Office that support QF communications strategy and business strategy. This position works to integrate and ensure consistency and progress in communication programs and activities, serving as a primary liaison and resource to the departmental teams.
Under the supervision of Office Manager, the position is responsible for keeping the Director and the managers abreast of the working status of projects according to priorities. He / She will also manage the schedule, priorities and commitments for board memberships and chairmanships.
Key Result Areas:
1. Support the Director of Communication and the project managers in the development / implementation of the QF communications strategy with focus on the identification and prioritization of key stakeholder objectives.
2. Serve as the management resource for department managers
3. Develop strong integration processes and coordination mechanisms within the department, with special focus on collaboration with Communication functional managers, and operations authorities of partner organizations.
4. Manage and oversees project-specific communication initiatives and campaigns, ensuring that Director is kept updated on project-related activities, efforts and initiatives, and that the Director’s Office levels of service meet client needs.
5. Work with managers for consistency in all project-related communications.
6. Oversee projects milestones and achievements
7. Analyze and evaluate on a qualitative/quantitative basis the effectiveness of all projects in meeting established goals and objectives.
8. Organize the Director’s daily calendar of meetings/appointments in coordination with the Office Manager.
9. Oversee the Director’s office correspondences with the different QF centers and directorates and outside organizations to ensure that all requests/proposals received by the office are dealt with in a proper and timely manner
